  • Advanced Word Processing – Columns

    Apply multiple column layouts. Change number of columns in a column layout.

    To apply multiple column layouts, click on ‘Format’ from the main menu bar and from the resulting drop-down menu, click on ‘Columns’. This will open the ‘Columns’ dialog box.

    In this dialog box, under the ‘Settings’ area, we have an option, ‘Columns’. Under ‘Columns’ we can select the number of columns which are required in a particular page. After making all the changes click on ‘OK’. This will save the changes in the document.

    Columns 16Change column widths and spacing. Insert, remove lines between columns.

    To change column widths and spacing, click on ‘Format’ from the main menu bar and from the resulting drop-down menu, click on ‘Columns’.

    This will open the ‘Columns’ dialog box. In this dialog box, under the ‘Width and Spacing’ area, we have different options for changing the column widths and spacing between different columns.

    In the same ‘Columns’ dialog box, under the ‘Separator Line’ area, we have different options for inserting a line between different columns. Make the appropriate changes here to add a line between the columns.

    After making all the changes, click on ‘OK’. This will save the changes in the document.

  • Advanced Word Processing – Paragraph Styles

    Create, modify, and update a paragraph style.

    A paragraph style is a template which is used to define the styling for a paragraph in LibreOffice Writer. A paragraph style can be applied to a paragraph and the paragraph will take up the styling properties defined by that paragraph style.

    To create, modify or update a paragraph style, first of all click on ‘Format’ from the main menu bar and from the resulting drop-down menu, click on ‘Styles and Formatting’. This will open the ‘Styles and Formatting’ toolbar menu at the right side of the document.

    After this, click on the ‘Paragraph Styles’ icon to display the different paragraph styles available in Writer in a list format. This icon has been highlighted in the below given illustration.

    Custom Styles 13After this, from the drop-down list present at the bottom of the ‘Styles and Formatting’ toolbar, select ‘Custom Styles’.

    Now, right-click inside the ‘Styles List’ area. This will display an option, ‘New’.

    Click on ‘New’ and this will open the ‘Paragraph Style’ dialog box.

    Paragraph Styles 14In this dialog box, we can define our new custom paragraph style. Under the ‘Organizer’ tab, we can provide the ‘Name’ for the new paragraph style and then under the other tabs, we can define the different styling properties for this style. After selecting all the properties, click on ‘OK’. This will save the paragraph style in the ‘Styles List’ area for later use.

    To modify a paragraph style, in the ‘Styles List’ area, right-click on the style which needs to be modified and from the resulting menu click on ‘Modify’. This will open the same ‘Paragraph Style’ dialog box. Make all the required changes here and then click on ‘OK’. This will update the selected paragraph style.Modify Style 15

  • Advanced Word Processing – Styles

    Create, modify, and update a character style.

    A character style is a template which is used to define the styling for a character in LibreOffice Writer. A character style can be applied to a character and the character will take up the styling properties defined by that character style.

    To create, modify and update a character style, first of all click on ‘Format’ from the main menu bar and from the resulting drop-down menu, click on ‘Styles and Formatting’. This will open the ‘Styles and Formatting’ toolbar menu at the right side of the document.

    After this, click on the ‘Character Styles’ icon to display the different character styles available in LibreOffice Writer in a list format. This icon has been highlighted in the illustration below.

  • Advanced Word Processing – Lists

    Apply, modify outline numbering in multi-level lists.

    To apply outline numbering in multi-level lists, click on ‘Format’ from the main menu bar, and from the resulting drop-down menu, click on ‘Bullets and Numbering’. This will open the ‘Bullets and Numbering’ dialog box.

    In this dialog box, under the ‘Options’ tab, we have different options for providing outline to multi-level lists. Under ‘Level’ we can select the number of levels in the list and under ‘Numbering’, we can choose the different outline numbering styles for these lists. After making all the changes click on ‘OK’. This will save the changes in the document.

    In order to modify outline numbering for multi-level lists, select the list which needs to be modified and then right-click anywhere on the selected portion. From the resulting menu, click on ‘Bullets and Numbering’. This will open the same ‘Bullets and Numbering’ dialog box. Here we can make the required changes and then click on ‘OK’.

  • Advanced Word Processing – Paragraphs

    Apply line spacing within paragraphs: at least, exactly/ fixed, multiple/proportional.

    Line spacing defines the distance or gap between individual lines in a paragraph. To apply line spacing within paragraphs, right-click once anywhere on the paragraph for which line spacing needs to be changed and from the resulting menu, click on ‘Paragraph’.

    This will open the ‘Paragraph’ dialog box. In this dialog box, under the ‘Indents & Spacing’ tab, we have a ‘Line Spacing’ drop-down list. We can select the appropriate type of line spacing which needs to be applied from this list. After selecting the appropriate value, click on ‘OK’. The settings will get applied to the document.

    Pagination is the process of dividing a document into discrete pages. To apply pagination to a document, right-click once on the location from where you need to start a new page and from the resulting menu, click on ‘Paragraph’.

    This will open the ‘Paragraph’ dialog box. In this dialog box, under the ‘Text Flow’ tab, we have a ‘Breaks’ section. We can insert a page break using the different fields present in this section. After selecting the appropriate values, click on ‘OK’.     Use paste special options: formatted text, unformatted text.

    To use the paste special option of Writer, first of all copy some text. To copy text, select the text which needs to be copied and then right-click on that selected text and from the resulting menu click on ‘Copy’.

    After this, go to the location where you want to paste the copied data and then right-click once. From the resulting menu, click on ‘Paste Special’ and from the menu thus displayed, click on ‘More Options’. This opens the ‘Paste Special’ dialog box.

    Here we have the options to choose whether we need to paste the formatted text or the unformatted text. If we select formatted text, then the formatting of the text which was copied earlier will get copied along with the data. But if unformatted text is chosen, then only the text will get copied and all the formatting associated with that text will be ignored. Select the appropriate option and then click on ‘OK’.     Use find and replace options like: font formats, paragraph formats, paragraph marks, page breaks.

    Find and replace options in Writer help us to find a particular block of data in the document and then replace this block with some other data which is defined using this method.

    To use the find and replace options in LibreOffice Writer, click on ‘Edit’ from the main menu bar and from the resulting drop-down menu, click on ‘Find & Replace’. This will open the ‘Find & Replace’ dialog box.

    In this dialog box, click once inside the ‘Search For’ text field and then click on the ‘+’ sign in front of ‘Other options’ to open the additional options which this dialog provides. After this, click on ‘Attributes’ to open the ‘Attributes’ dialog box.

    Attributes 3In this dialog box, we have a list of all the different attributes of LibreOffice Writer. Select the appropriate attributes from this list and then click on ‘OK’. This will take the control back to the ‘Find & Replace’ dialog box.
    Now click on ‘Format’. This will open the ‘Text Format’ dialog box. In this dialog box, we have a number of tabs which provide different options for selecting different formatting options. Select the particular options from this dialog which need to be searched in the document and then click on ‘OK’. This will take the control back to the ‘Find & Replace’ dialog box. Now we have selected the properties for the data which is going to be searched in the document.

    Text Format Search 4Now we need to set the data with which the above searched data is going to get replaced. Click once inside the ‘Replace With’ text field and then click on ‘Format’ to select the different formatting options in the same way as we did above. After selecting everything, click on ‘Replace’ or ‘Replace All’ from the ‘Find & Replace’ dialog to replace the values one by one or all at once.

  • Advanced Word Processing – Text Wrapping

    Apply text wrapping options for graphical objects (picture, image, chart, diagram, drawn object), tables.

    Text wrapping is the method by which the text is arranged around an image or some other object in a document. There are different types of text wrapping by which we can arrange text around objects in many different ways.

    To apply the different types of text wrapping options to a graphical object like a picture or a chart, simply click once on the graphical object so that it becomes surrounded by eight green colored square boxes on the edges. After this, right-click on the object, and from the resulting menu, click on ‘Wrap’. This will display a sub-menu which gives a list of all the wrapping options available in LibreOffice Writer. Click on the appropriate wrapping option from this menu and that wrapping will get applied to the selected object.
